Staying signed in: idle sign-out, the sign-in window, and the 10-hour limit

There are three separate timers. The first one to run out signs you out.

1. Idle sign-out

What it is: if you don't use the portal for a while, it signs you out.

How long: set by the clinic in Admin → Settings → Sign-in & sessions → Sign out after inactivity (5 to 120 minutes; 15 minutes unless changed). Only someone with Change settings can change it.

What counts as using it: moving the mouse, pressing keys, clicking, scrolling or tapping in the portal tab.

What you see: the sign-in page with "You were signed out after 15 minutes of inactivity." (your clinic's number).

When a change applies: to sign-ins after you save. People already signed in keep their old timeout until they sign in again.

2. The sign-in window (re-confirm window)

What it is: how long one sign-in lasts, no matter how busy you are. When it ends, you must sign in again. This makes sure the person making sensitive changes (settings, users, roles, EMR, sync and similar) is still you.

How long: set by the clinic in Admin → Settings → Sign-in & sessions → Re-confirm identity for admin changes after (10 to 240 minutes; 60 minutes unless changed).

What you see:

  1. 5 minutes before the end, a yellow banner: "Your sign-in reaches 1 hour at 2:15 PM, you will be signed out then. Sign in again now to keep working without interruption."
  2. You can click Sign in again right away. You go to the sign-in page with "Sign in again to continue, unsaved settings changes are kept."
  3. If you do nothing, at the end time you are signed out with "You have been signed in for 1 hour, please sign in again to continue. Unsaved settings changes are kept."

Important: this happens to everyone, not only admins. With the starting setting of 60 minutes, everyone signs in again every hour. A clinic that wants longer can raise it (up to 4 hours).

If a sensitive change is refused: if you click Save on a sensitive change and your sign-in is too old, nothing is changed. You are taken to the sign-in page with "That change needs a recent sign-in, please sign in again to make it. Unsaved settings changes are kept." Sign in and click Save again.

When a change applies: a new length applies to sensitive changes right away. Your own yellow banner follows the new length after your next sign-in or page reload.

The hint under this setting in Admin → Settings → Sign-in & sessions says the same thing in short: changes made later than this after sign-in "need a fresh sign-in: five minutes before the window ends a yellow banner offers "Sign in again"; when it ends, the portal signs you out and back to the sign-in screen (unsaved Settings edits are kept for 20 minutes)."

3. The 10-hour limit

Every session ends 10 hours after sign-in, whatever else is happening. This cannot be changed.

Unsaved Settings edits are kept

If you are in the middle of editing Admin → Settings when the sign-in window ends (or you click Sign in again, or a save is refused for an old sign-in):

  • The portal saves your unsaved Settings form in this browser tab.
  • After you sign in again, open Admin → Settings. You see "Your unsaved changes were restored, review and click Save."
  • Review them and click the Save button for each section you changed.

Limits:

  • It only works for Admin → Settings. Unsaved work on other pages (for example branding on Account, a role table, an invite form, a note) is not kept.
  • It must be the same browser tab.
  • It is kept for 20 minutes. After that it is thrown away.
  • It is not kept after a normal Sign out or an idle sign-out.
  • The edits are put back into the first Settings page you open after signing in. If your login has several clinics, pick the same clinic again before opening Settings.

Questions people ask

Q: Why do I get signed out every hour?

A: That is your clinic's sign-in window (60 minutes unless changed). An owner or admin can raise it to up to 4 hours in Admin → Settings → Sign-in & sessions → Re-confirm identity for admin changes after.

Q: Why was I signed out while I was typing?

A: Probably the sign-in window, not idle time. Watch for the yellow banner 5 minutes before. Click Sign in again at a good moment.

Q: I had the portal open in two tabs and got signed out.

A: Each tab keeps its own idle timer. If one tab sits unused past the idle time, it signs out, and that ends the session for every tab. Close tabs you aren't using.

Q: I lost the changes I was making.

A: Only Admin → Settings edits are kept, for 20 minutes, in the same tab. Other pages are not kept. Save often, and use Sign in again on the yellow banner before the time runs out.

Q: Does switching clinics reset my timers?

A: No. The sign-in window and the 10-hour limit keep counting from your real sign-in.

Q: Can I turn off the idle sign-out?

A: No. The longest it can be is 120 minutes. Patient information must not be left open on an unattended screen.
