For OptiMantra clinics

The membership list OptiMantra does not give you

OptiMantra bills the membership. Member Management tracks it: next reorder, next autopay, last nurse follow-up, and where the pharmacy order stands, for every GLP-1, hormone, TRT, and peptide member. No spreadsheet, no weekly audit.

The spreadsheet, or Member Management

OptiMantra bills the membership and charges the card. It does not keep a per-member schedule, so most clinics keep one in a spreadsheet and audit it by hand every week. Prescripta is not affiliated with OptiMantra.

How the OptiMantra connection works

Tag your members in OptiMantra

One patient tag per plan, for example MM-Hormone. The tag is what tells Member Management who holds a membership. No tags yet? The portal suggests one per membership type.

Turn on two webhooks

In OptiMantra, Settings, Marketing, CRM Integration: a Booking hook and a Checkout SuperBill hook, both posting to the private inbox address the portal gives you. No OptiMantra password or API key is ever stored.

Drop in the Patient Tags report

Export the Analytics, Patient Tags report and drop it on the Connect OptiMantra wizard. Every tag is listed with its count; map each one to a plan or mark it not a membership. Your current members appear with their schedule.

What stays in OptiMantra, what moves to Member Management

Nothing is duplicated. Each system keeps the job it is good at.

Stays in OptiMantra: the chart

Notes, forms, consents, scheduling, and the patient portal do not change.

Stays in OptiMantra: the money

Superbills, the card on file, and the charge itself. Member Management never touches your card processor.

Stays in OptiMantra: the tags

Add or remove a tag in OptiMantra and the membership appears or is marked removed in the portal.

Moves here: the schedule

Next reorder, next autopay, and the nurse follow-up date live on the member and roll forward on their own.

Moves here: the pharmacy order

Staff prepare the order, the provider approves, the portal sends it and tracks shipped and delivered.

Moves here: the daily view

One screen and one morning brief of who needs a reorder, a follow-up, or an approval today.

OptiMantra questions

It is a connection built on what OptiMantra offers: outbound webhooks for Booking and Checkout SuperBill, plus the Patient Tags report. OptiMantra has no membership API, so no tool can read memberships from it directly. Member Management reads the tags and keeps the schedule itself. Prescripta is not affiliated with OptiMantra.
No. OptiMantra posts to a private inbox address that the portal gives you, and that address can be rotated any time. Nothing signs in to OptiMantra, and no OptiMantra credential is stored.
It does not need to. The charge stays in OptiMantra with whichever processor you use. Member Management tracks the autopay date and shows a failed payment on the member so staff see it before approving a reorder.
The portal keeps them as "Seen in OptiMantra, no membership" on the dashboard and in the daily brief. The day a membership tag arrives for that patient, they become a member with a schedule.
Tagging patients in OptiMantra is the longest part and depends on how many you have. The two webhooks take a few minutes. The Patient Tags import maps every tag on one screen and brings your current book over in one pass.
Base is $19 per clinic per month with one pharmacy. Plus is $29 with up to three pharmacies. Pro is $49 with unlimited pharmacies and eFax from the order form. Buy online, no consult needed; plan changes take effect at the end of the paid month.
