Memberships and your EMR
Membership Management keeps one list of every member. When your EMR is connected, memberships come from the EMR; otherwise they are entered by hand or imported from a CSV file.
The dashboard numbers match your EMR
The top row is counted the way your EMR counts: current (not cancelled), active (paid up to date), suspended, payment failed and frozen. If the EMR's own status is wrong for a patient, staff can override what the portal shows. If the EMR later reports a change, the row is flagged for review.
A patient moves from one membership to another
No duplicate is created. Memberships are keyed on the EMR's own membership id. If the EMR shows a membership for a patient whose portal row carries a different type, nothing new is created; the row is flagged EMR disagrees, review with two choices, Keep or Use EMR. If the change is made in the EMR (the old membership cancelled and a new one sold), the old row shows cancelled and a new row of the new type appears for the same patient.
Changing the membership-type rules
The daily EMR sync re-types every synced membership from the current rules, so a rule change lands at the next morning run on its own. To apply it right away, open Settings > Membership types and press Re-apply rules to existing patients. Merging several products into one type means they share that type's settings (reorder interval, auto-reorder switch, default product). Each patient's own medication is untouched.
Working with no EMR connection
Everything works by hand: add patients and memberships, import a CSV, set the autopay cadence, and the daily sweep rolls the dates forward. Connect an EMR later without losing anything.
