Why don't the numbers match my EMR?

The membership row is built to match your EMR's own counts. When they differ, it is almost always one of these:

  1. Timing. Zenoti numbers are read once each morning (8:50 AM Eastern). Look at as of … next to the Memberships label. If a change was made in Zenoti after that, click Sync now (Admin → Settings → EMR connection; needs Run the EMR sync / sweep) and reload the Dashboard. OptiMantra changes arrive on the next hourly check.
  2. Archived patients. They are left out of every number. Check Members with Show archived.
  3. Memberships, not patients. Both sides should count memberships. If you are comparing to a patient count, use the Members page for the portal side.
  4. Memberships added by hand. When an EMR is connected they are in Current memberships but not in Active, Suspended, Failed, Frozen or Past due. The grey note under the card shows how many.
  5. Patients without a membership are never counted.
  6. Membership names the portal does not track. Your membership-type rules decide which EMR memberships are tracked. In Admin → Settings → Membership types & rules, open Membership names seen in (EMR) on the last sync. Names marked not tracked are not counted. Add a rule for them, then use Re-apply rules to existing patients or wait for the next sync.
  7. A staff status override. If staff set a status on a patient's page, the portal uses that status. The patient shows on EMR disagrees, review once the EMR changes.
  8. Which report you compare with. Compare Active with your EMR's Active Members report for today. The EMR leaves past-due memberships out of Active, and so does the portal.
