The list panel (under the cards)
Search and filters
At the top of the list panel:
| Control | What it does |
|---|---|
| Search by name box | Shows only rows whose name contains what you type. Upper/lower case does not matter. Works on every list, including "Seen in …, no membership". |
| All membership types drop-down | Pick a membership type to show only that type. |
| Any order status drop-down | Pick an order status: Upcoming Reorder, Pending Provider Approval, Ready to Order, Ordered, Shipped, Delivered / Received. |
| Reorder on/before date box | Shows only rows whose next reorder date is on or before that date. |
| Clear filters | Shows when any filter is set. Clears all four. |
- Filters only change what you see in the list. They never change the card numbers.
- The number in the list heading (for example Overdue reorders (2)) is the number after filtering. The card shows the full number.
- Filters stay set when you click another card. If a list looks too short, look for Clear filters.
- Filters are not saved. They reset when you leave the page.
The heading and the explanation
The heading shows the card's name and the row count. Under it, in grey, is the card's one-sentence explanation. Some cards add a longer note (quoted in each card above). Over the table: Click a column heading to sort; click an order-status chip to work the reorder right here.
If a list is empty: Nothing in this queue.
The patient list under a card
Most cards use the same table.
| Column | What it shows |
|---|---|
| Patient | The patient's name. Click it to open the patient page. |
| Membership | The membership type (for example Semaglutide, or "No membership"). |
| Status | The portal's simple status chip: Active (green), Paused (gold) or Canceled. This is not the EMR's word. A suspended or payment-failed membership still shows Active here, because it still gets reorders. A frozen one shows Paused. |
| Next reorder | The next reorder date, MM/DD/YYYY. - when the membership type has no reorders. A grey \* means someone changed the date by hand (hover: "Manually adjusted"). |
| Order status | A chip for where the reorder stands (see below). Click it to open the reorder pane. |
| Next autopay | The next autopay date, plus a red Payment failed chip if the last charge failed. |
| Last follow-up | The date of the last logged call and its result: answered (green), or no answer, left voicemail, texted (gold when the patient was not reached). none if no call was logged. |
| Next follow-up | The next follow-up date. A grey \* means it was changed by hand. |
| Placed at pharmacy | Only on Ordered, not shipped, Ordered, shipped, and Placed at the pharmacy, recorded. The day the order was placed. |
| Prescription | Only on the same three cards. The drugs on that order, with the pharmacy's order number (#…) under them. |
| Tracking | Only on Ordered, shipped. Carrier and tracking number, linked to the carrier's tracking page. |
| (buttons) | The row buttons. The column only appears if at least one row has a button you are allowed to use. |
Sorting
Click a column heading to sort by it. Click again to reverse. A small ▲ or ▼ shows the sort. The Order status sort puts the most urgent first: overdue (oldest first), then due soon, then by stage. Your choice is remembered in this browser and used on every list. The default is Next reorder, earliest first. (The Placed at pharmacy, Prescription, Tracking and button columns cannot be sorted.)
On the two "Ordered, " cards, the Order status chip and the reorder pane show the patient's current reorder. If the patient has two open orders, that may not be the order on that row. The Placed at pharmacy, Prescription and Tracking columns, and the Delivered and Remove buttons, are always about the row's own order.
The order-status chip
| Chip | Meaning |
|---|---|
| Review EMR match (gold) | A hand-added patient may be a Zenoti patient. Chip cannot be clicked; open the patient. |
| EMR status changed, review (gold) | See "EMR disagrees, review". |
| EMR membership type differs, review (gold) | See "EMR disagrees, review". |
| Possible duplicate, review (gold) | See "EMR disagrees, review". |
| No reorders (grey) | This membership type has no medication reorders. Chip cannot be clicked. |
| Overdue · (status) (red) | An open reorder past its date, for example "Overdue · Upcoming Reorder". |
| Upcoming Reorder | A reorder is open; nothing prepared yet. |
| Pending Provider Approval (gold) | Prepared, waiting for a provider. |
| Ready to Order | Approved, not yet placed. |
| Ordered / Shipped (blue) | Placed with the pharmacy / on its way. |
| Delivered / Received (green) | Done. |
| Overdue (red) | No reorder open, and the reorder date has passed. |
| Due in Nd (gold) | No reorder open; due in N days. It shows when the reorder date is within your clinic's reorder notice days. |
| Not due (grey) | Nothing to do yet. |
The Due in Nd chip follows your clinic's reorder notice. For example, with a 10-day notice, a patient due in 9 days shows Due in 9d; with a 5-day notice, that patient shows Not due. Change the notice in Admin → Settings → Schedules → Reorder notice (days before due), or in the box right under Auto-prepare in Pharmacies (it is the same setting).
Next to it you may see a second chip from the pharmacy:
| Chip | Meaning |
|---|---|
| auto (blue) | The portal prepared this prescription by itself (hover: "Prepared automatically by the portal when the reorder came due"). |
| Sent to pharmacy (blue) | Sent electronically; waiting for the pharmacy. |
| Pharmacy accepted (green) | The pharmacy took the order. |
| Faxed to pharmacy (blue) | Sent by fax. |
| Pharmacy rejected / Pharmacy error (red) | The pharmacy refused it or something went wrong. |
| Auto-prepare: no Rx to copy (gold) | Auto-prepare could not fill the prescription. Hover for the reason. |
