Help Center Membership Management: The Dashboard Daily summary e-mail and team chat post

Daily summary e-mail and team chat post

Once a day, the portal sends a short daily summary by e-mail. It holds counts only, never patient names or any patient details. To see who is behind a number, open the Dashboard.

Turning it on and choosing the time

Admin → Settings → Notifications (needs Change settings to edit):

  • Tick box Daily summary email right after the morning EMR sync (memberships, overdue reorders, due this week, Rx pending approval, failed payments, follow-ups due…). Untick it to stop the e-mail.
  • Send the summary at:
    • Right after the morning EMR sync (default): the morning run, 8:50 AM Eastern, as soon as the EMR sync and reorder check finish.
    • or a time from 6:00 AM to 9:00 PM (clinic time): the summary goes out on the first hourly check at or after that hour, in your clinic's time zone. The hourly checks run at 5 past the hour, so "10:00 AM" arrives a little after 10.
    • It is sent once a day only.
  • Click Save notification settings.

Who gets it

  • Every owner, admin and provider who has activated their login (signed in at least once) and is turned on. Invites still pending and turned-off logins are skipped.
  • Plus the extra clinic e-mail addresses typed in the box Who receives the daily summary… (comma-separated).
  • Minus people who opted out. In Admin → Users, the Daily summary column has a tick box (receives / opted out) for owners, admins and providers. Nurses and staff show ", (add under Settings → Notifications if wanted)".

What the e-mail looks like

  • Subject: the product name in square brackets, the date, and three numbers, for example: [Membership Management] 10/25/2026, 3 overdue, 8 due this week, 1 failed payments. ("Due this week" is the Reorders due ≤ N days count, whatever N is.)
  • Title: Daily summary, 10/25/2026
  • First line: (N) current memberships · (N) active (paid up to date).
  • A table of lines with a number on the right (green when above zero, grey at zero):

  • An Open the portal button.
  • At the bottom: Open the portal for the patient lists, nothing patient-identifying is ever e-mailed. (The plain-text version ends with "No patient information is included in this message.")
  • Your clinic logo at the top when one is set up.

These cards are not in the e-mail: Patients without a membership, Follow-up steps due, Lab draws overdue, Follow-up schedule moved, Patients with notes, No autopay amount in EMR, and Rejected by pharmacy.

The e-mail ignores the Dashboard cards settings and everyone's Arrange tiles choices. Every line is always sent, even at 0.

Team chat post

If your clinic has the Team chat posts add-on (Pumble today; not sold yet, internal and comped accounts only), a tick box shows: Post daily counts to Pumble (counts only, never patient names).

  • The chat link (webhook) is set up by Prescripta. Contact support to change it.
  • It posts at the same time as the e-mail, once a day, with the same lines: a bold title with the product name and date, then one line per count ("• Overdue medication reorders: 3"), then Details: and the portal's web address.
  • Turning the e-mail off does not stop the chat post. Untick the chat box to stop it.

Test it

Send me today's summary now (Admin → Settings → Notifications; needs Change settings). It e-mails today's summary only to your own address, and posts to the team chat if that is on. It works even if the daily e-mail is turned off. It does not replace or block the regular daily send.
