Help Center Membership Management: Settings The Settings page: how it works
The Settings page: how it works
Who can see and use Settings
| What | Who | Permission (as shown in Owner → Roles) |
|---|---|---|
| See the Admin menu and open Settings | Owner, admin and provider (by default) | View settings |
| Change and save settings | Owner and admin (by default) | Change settings |
| Sync now, Re-apply rules to existing patients, Re-run alert sweep | Owner and admin (by default) | Run the EMR sync / sweep |
| Export CSV files | Owner and admin (by default) | Export patients, orders and follow-ups to CSV |
| Import CSV files | Owner and admin (by default) | Add / edit manual patients, review Zenoti matches |
| Seed medications from order history | Owner and admin (by default) | Set a patient's medication and Change settings (both) |
The owner can change these in Admin → Owner → Roles.
- Someone with View settings but not Change settings (a provider, by default) sees every setting greyed out and no Save buttons. They can still read everything.
- Nurses and staff do not have View settings by default, so they do not see the Admin menu at all.
Parts only Prescripta can change
Some settings are set up by Prescripta (the company that makes Membership Management), because they are arranged directly with the pharmacy, the EMR company or the fax company, and a wrong change would stop ordering or the patient sync. These are:
- the EMR connection (which EMR, its account details, the morning pull on/off),
- pharmacy setup (which pharmacies, their connection, practice and location, prescriber, order statuses, catalog, fax number, shipping e-mail format),
- the fax service and fax line,
- your plan and features.
Clinic logins see these greyed out, with a blue box that starts Set up by Prescripta. To change any of them, contact support: Account → Support.
What stays the clinic's own, even inside those sections:
- Auto-prepare prescriptions on/off and the Reorders come due N days before number (Pharmacies)
- Default product per membership type (Pharmacies)
- the Shipping e-mails forwarding address (Pharmacies)
- Sync now (EMR connection)
- the membership-type rules, including the OptiMantra tag mapping
- the fax page header, delivery-receipt e-mail and quality (Fax)
If a clinic login tries to change a Prescripta-only part anyway (for example through an old open page), the server keeps the stored value and ignores the change. Some actions answer with: EMR and pharmacy connections are set up by Prescripta support. Contact support to change them.
When Prescripta support is working inside your clinic to help you, they can change these parts. Everything they do is written to your audit log, marked Prescripta support.
Page layout
Section list (left side)
On the left is a list of every section. Click a name and that section opens and every other section closes, so the page does not jump around. The sections are:
- Membership types & rules
- Schedules
- EMR connection
- Pharmacies
- Fax (add-on) (only shown when your clinic has the Fax add-on)
- Dashboard cards
- Notifications
- Sign-in & sessions
- Data: import, export & maintenance
Under the list are two links:
- Owner → Roles (for the owner) or Roles (for everyone else): what each role may do.
- Account & plan (most clinics) or Owner → Features (only on a clinic that sets its own features).
Under those are two small buttons:
- Expand all opens every section.
- Collapse all closes every section.
Section cards
Each section is a card. Click the card's title bar to open or close it. A closed card shows a one-line summary next to its title, for example Reorder date source, intervals, notice days. Some cards show a small grey label (a "pill") in the title bar:
- EMR connection shows the name of your EMR, or none.
- Pharmacies shows how many pharmacies (or pharmacy accounts) your clinic has.
- Fax (add-on) shows on when faxing works through a fax service, or off when it is print-and-fax-by-hand.
Which cards you left open is remembered in your own browser, so the page opens the same way next time.
Links straight to a section
A web address that ends in # plus a section name opens that section and scrolls to it, for example /admin/settings#pharmacies. Other screens in the portal use these links (for example a hint that says "see Membership types"). The names are: types, schedules, emr, pharmacies, fax, cards, notifications, signin, data.
Saving your changes
Most cards end with a Save button with the card's name on it:
- Save membership types & rules
- Save schedules
- Save pharmacy settings
- Save fax settings
- Save notification settings
- Save sign-in settings
- Save dashboard cards
Important: every Save button saves the whole Settings page at once, not just its own card. If you changed something in Schedules and then click Save notification settings, the Schedules change is saved too. This also means you do not have to save each card separately.
The EMR connection card has its own separate button, Save EMR connection, which only Prescripta sees.
After you click Save:
- If it worked, you see Settings saved. at the top of the page and next to the Save button.
- If it did not work, you see Not saved, followed by the reason, next to the Save button, and the reason again at the top of the page in red. Nothing was changed.
Common reasons for Not saved, :
- Invalid request: … followed by the name of the setting and the problem, for example a number that is too big or too small, a blank rule, a step with no name, or an e-mail address that is not valid. Fix the value and save again.
- Please sign in again to perform this action: your sign-in is too old for a settings change. See "Re-sign-in for sensitive changes" below.
- Multiple pharmacies is an add-on that is not enabled for this clinic or Your plan allows N pharmacies. Upgrade from Account to add more.: the pharmacy list is bigger than your plan allows.
Your web browser may also stop the Save before it is sent and point at a box with a short tooltip, for example "Value must be less than or equal to 30". That happens when a number in an open card is outside its allowed range.
Changes you have typed but not saved are not kept if you leave the page or close the tab. There is no warning. (The one exception is a forced re-sign-in, below.)
Re-sign-in for sensitive changes
For safety, changing settings, users, roles or running a sync needs a recent sign-in. "Recent" means within the Re-confirm identity for admin changes after time set under Sign-in & sessions (60 minutes unless your clinic changed it).
What you will see:
- 5 minutes before that time runs out, a yellow bar appears at the top of every page: Your sign-in reaches 1 hour at 10:45 AM, you will be signed out then. Sign in again now to keep working without interruption. with a Sign in again button.
- When the time runs out, the portal takes you to the sign-in screen with the message You have been signed in for 1 hour, please sign in again to continue. Unsaved settings changes are kept.
- If a settings change is refused because the sign-in is too old (for example the computer was asleep), you go straight to the sign-in screen with That change needs a recent sign-in, please sign in again to make it. Unsaved settings changes are kept.
In both cases, whatever you had typed on the Settings page is kept. After you sign in again and open Admin → Settings, you see Your unsaved changes were restored, review and click Save. Check the values and click any Save button. Kept changes are thrown away if you take more than 20 minutes to sign back in.
The hint under Re-confirm identity for admin changes after says the same in short (see "Sign-in & sessions" below).
Questions people ask
Q: I don't see the Admin menu.
A: You need the View settings permission. Nurses and staff do not have it by default. Ask your owner to give it to your role in Admin → Owner → Roles, or ask an owner or admin to make the change for you.
Q: Everything on Settings is grey and there is no Save button.
A: Your role can view settings but not change them (it lacks Change settings). Providers are set up this way by default. Ask an owner or admin.
Q: Only some boxes are grey, and I am an owner.
A: Those are the parts set up by Prescripta (EMR connection, pharmacy setup, fax line). Look for the blue Set up by Prescripta. box. Contact support through Account → Support to change them.
Q: I clicked Save in one card. Did it save my changes in the other cards too?
A: Yes. Every Save button saves everything on the page that you changed.
Q: I clicked Save and got "Not saved, Invalid request: …". What now?
A: The message names the setting that is wrong. For example "notifications.extraRecipients.0 Invalid email" means the first extra e-mail address is not a valid address. Fix it and save again. Nothing was changed.
Q: I was signed out in the middle of editing settings. Did I lose my work?
A: No, if you sign back in within 20 minutes. Open Admin → Settings and you will see Your unsaved changes were restored, review and click Save. Then click Save.
Q: Why does the portal sign me out every hour even when I'm working?
A: That is the Re-confirm identity for admin changes after setting under Sign-in & sessions. An owner or admin can make it longer, up to 240 minutes (4 hours). Every session also ends 10 hours after sign-in no matter what.
Q: How do I open just one section quickly?
A: Click its name in the list on the left. Only that section opens.
Q: The page opened with sections already open that I didn't click.
A: The page remembers which sections you left open in this browser. Click Collapse all to close them.
Q: Who changed a setting?
A: Every save is written to the audit log (Admin → Audit log, if you have View the audit log). Look for the action settings.update on that day.
Q: How do I undo a change?
A: There is no undo button. Change the value back and click Save again. If you need to know what it was before, check with whoever made the change (the audit log shows who and when, not the old value).
